We are currently recruiting for an a administrator to provide a high standard of administration support services to all internal and external stakeholders to support the efficient running of the NTEP Contract and Central Office.

Main responsibilities
  • Ensure the Central Office location adheres to all Health and Safety requirements at all times
  • Collate all ad hoc information requests on behalf of Director of Operations and Central Support functions when required
  • Communicate ongoing updates to relevant policies and procedures and ensure that all noticeboards are kept up to date at all times
  • Collate and complete Monthly Reporting Pack returns by the required deadline each month and send to Director of Operations for approval
  • Check Equipment Compensation Events List is up to date on the shared drive on a monthly basis to enable completion of monthly pack
  • Ensure that all messages are directed to the appropriate manager for action at all times
  • Organise, attend and minute the NTEP/USAF team meetings as and when required
  • Facilitate the regional nominations for the monthly Reward & Recognition (Be A Star/Pride/Long Service) send final nominations to Director of Operations by the required deadline each month
  • Carry out all central admin tasks including but not limited to the collection of post, ordering stationery and drafting and sending of letters
  • Book all visitors into the site ensuring compliance to security paperwork
  • Arrange and support all site visits and events when required
  • Compile weekly movements for Support/Central managers and distribute accordingly
  • Collate monthly returns from units to be discussed at Central Business Reviews 
  • Retrieve regional updates from the Huddle to complete the HR Tracker for NTEP & USAF ensuring confidentially at all times in adherence to Data Protection Act
  • Facilitate and support all units with charity projects and liaise with the SSAFA representative directly
  • Collate the weekly WebEx information including HSE, Operations and Finance and send to Director of Operations every Monday morning before 1200
  • Liaise with client security representatives to advise of all leavers and new starters
  • Collate articles for the NTEP newsletter, Insight to site and Encompass Magazine submissions
  • Be flexible in your approach and comply with any reasonable requests made by your line manager.
Ideal candidate
  • Previous experience in administrative roles
  • Excellent working knowledge of Word, Excel and PowerPoint
  • Excellent time management
  • Professional Telephone manner
  • Excellent written and verbal communications skills
  • Ability to maintain a high level of confidentiality
  • Self-motivated and ability to adapt to an ever-changing environment

  • NVQ in Office or Business Administration or equivalent qualifications
  • Previous experience in a fast paced working environment
  • RSA/ECDL qualification
  • Proven track record of delivering excellent customer service
