We are looking for a Soft Services Administrator to join our Team.

Main responsibilities
  • Provide administration support for the soft services provided to the client. Soft Services include: Reception, Conference Bookings, Mail Room, Customer Liaison, Travel Plan, Catering and Security
  • Management of the audit schedules & audit findings
  • Management of planned preventative maintenance schedules & events using TopDesk
  • Management of facilities helpdesk requests for the soft services on site, ensuring the SLA timeframes are met
  • Supporting the on site team with maintenance helpdesk requests
  • Managing team inboxes where required, to include fire marshal and first aid inboxes
  • Work with Soft Services Supervisor to complete the weekly payroll tracker
  • Manage the ordering of IT equipment for team members, new starters or IT requests for the client via the client systems
  • Collate & produce client reports & presentations
  • Reporting to Soft Services Manager on service level, gaps in delivery, ideas for continuous improvement
  • To ensure the highest level of customer Service and operational standards are adhered to at all times, across all soft services
  • Responsible for ordering of consumables across the contract ensuring within budget, advising managers on cost savings & working with suppliers to ensure best price
  • Taking ownership by demonstrating a can-do attitude towards individual customer requests and strive to exceed customer expectations
  • Responsible for ordering uniform & PPE for all employees
  • Distribution of all Health & Safety communications to remote workers & sub-contractors
Ideal candidate
  • Good communication skills in order to be able to liaise with management team members, colleagues and customers within your work environment
  • Able to comply with legislation and follow all rules and regulation laid down in the staff handbook and unit policy statements, with regard to uniform, personal hygiene, health and safety
  • Ability to work under pressure whilst maintaining a positive attitude
  • Good personal time management skills
  • Good IT skills, with knowledge of Microsoft Office Suite
  • Flexible approach to working hours and environment
