We are currentky look to reruit a Soft Services Co-ordinator (Shift Working) to assist in the day-to-day management of the soft services provisions provided by the Medirest contract at Peterborough City Hospital PFI, and be able to step into any supervisory role within Soft FM Services including Security, Domestic, Portering, Catering (Patient and Retail), Service Desk Dispatch, Linen and Traffic services

Package description

We are looking to recruit a Soft Service Coordinator.

The contracted hours will be 8pm-8am, 12 hour shifts. Your shift pattern will be a two week rofter pattern, 3 over 7 and 4 over 7 days including covering weekends. In return we will guarantee 40 hours per week.

You annual pay will be £21000

Main responsibilities


  1. To assist in the day-to-day management of the soft services provisions provided by the Medirest contract at Peterborough City Hospital PFI, and be able to step into any supervisory role within Soft FM Services including Security, Domestic, Portering, Catering (Patient and Retail), Service Desk Dispatch, Linen and Traffic services.


    It is the responsibility of Soft Services Co-ordinator to act in a professional manner at all times.


    Incident management and reporting information to be completed during the day of each reported incident. Data entry onto the Peterborough City Hospital Datix system needs to be inputted on the day of the incident. Compass Incident Investigation Packs (IIP) must be completed and passed to the Medirest FM Management office.


    Perform comprehensive investigations on any incident of this nature, provide feedback to users and ensure preventative measures are put in place.


    Conduct audits, including Medirest departmental and CQC – 15 steps challenge audits to agreed schedules and submit paperwork to the Service Manager, and attend the joint monitoring walk round as requested.


    Ensuring that the daily work schedules of the Hospital are conducted in line with the Policies and Procedures. Ensure policies and procedures are in place to ensure effective delivery of services and efficient workforce planning.


    Identify all required shifts are covered during your shift and evaluate the risk to the service and allocate appropriate resources to meet the service level agreement.


    Promote Security awareness throughout the Trust and advise on security matters. Assist departments in identifying risk and support the undertaking of risk assessments.


9.Pro-actively look to recommend improvements to work processes by providing suggestions and solutions. Encourage best working practices and monitor Health & Safety procedures to ensure safe working practices in line with policies and procedures.  
    Ensure that all staff deal with patients and visitors in an appropriate and professional manner consistent with their needs and which reflects the high standard of care and commitment provided by the Trust.


    Support departmental training plans to ensure that all staff receives all mandatory training across the contract and the departments remains training compliant at all times.


    Ability to perform or contribute to staff development reviews in accordance with agreed procedures, develop and produce action plans based on the reviews.


    Participate in own personal development, including mandatory and refresher training as identified.


    Ensure that the Department’s adhere to profit protection policies and procedures including cash handling and cash counting protocols.


    To protect and safeguard the assets of the Hospital, it’s staff, patients and visitors against loss, damage, injury or harm from criminal acts, including theft, vandalism and arson. 


    To ensure that confidentiality, in line with Data Protection Act 1984 and Information Governance guidelines are observed at all times and that matters relating to duties undertaken or information received during the course of duties remain confidential.


    Data protection and Information Governance
All staff having access to computer information are subject to the Data Protection Act 1984, and Information Governance policies and procedures. All staff, whether permanent, temporary or contracted, including students, contractors and volunteers are responsible for ensuring they do not divulge personal details and are aware of the Information Governance requirements in the NHS and for ensuring they comply with these on a day to day basis.


18.Infection control Infection Control is everybody’s responsibility. All staff, both clinical and non clinical, are required to adhere to the Trust’s Infection Prevention and Control Policies and make every effort to maintain high standards of infection control at all times thereby reducing the burden of Healthcare Associated Infections.


 All staff employed by Medirest has the following key responsibilities:

  • Staff must wash their hands or use alcohol gel on entry and exit from all clinical areas and /or between each patient contact.
  • Staff members have a duty to attend mandatory infection control training provided for them by the Trust.
  • Staff members who develop an infection (other than common colds and illness) that may be transmittable to patients have a duty inform their manager/supervisor.

    To work co-operatively with colleagues as part of the team and perform additional duties of a routine or non routine nature as and when directed by any senior manager for the department.


Ideal candidate

Skills and Abilities

  • Possess good IT skills and use of Microsoft Office, excellent oral and written communication skills and educated to GCSE level in English and Maths.
  • Excellent inter-personal skills, with the ability to deal with a wide range of people and situations.
  • Knowledge of Service level Agreements. Understanding of Medirest Soft Services and the NHS Security Manual and Security measures and practical applications. Understanding of all Hospital Soft Services and knowledge of Hospital layout. Working knowledge of the Hospital’s Organisational Policies and Procedures.
  • The ability to communicate and work with patients, other members of staff and visitors to the hospital.
  • Ensure that information regarding patients, staff and visitors is secured and not to divulge personal details at any time or under any circumstances.
  • Understanding of relevant Manual Handling, Infection Control and Health & Safety issues.
  • Ability to organise own workload and work on own initiative.
  • Ability to obtain and retain a SIA licence and CCTV. Experience of using CCTV Digital System and Access Control CCTV Monitoring would be advantageous.
  • The ability to understand and operate within the Policies of the Security Manual.
  • Able to maintain composure in stressful situations.
  • Hold a full valid UK driving license.
  • Ability to work as part of a team but using own judgement and initiative when necessary.
  • Previous experience of working in Security operations and Soft Services or a similar role.
  • Ability to communicate effectively and train frontline staff and be able to deliver presentations to a wide group of staff.
  • 3 years previous experience at Managerial or supervisory level.
  • To hold or have the ability to gain a nationally or Company recognised management qualification.
