Are you a Facilities Coordinator seeking to develop your skills?

We are currently looking for a Facilities Coordinator to join our team.

Main responsibilities
  • Coordinate all site based activities
  • Management of planned preventative maintenance schedules & events using TopDesk
  • Ensure site statutory and non-statutory PPM’s are closed out in a timely fashion
  • Raising appropriate SCCF’s to ensure the Work Book is accurate
  • Processing Time and Attendance, ensuring contractual operational obligations are met (OLLM, Timegate) –     
           contractual v actual.

  • HR/Employment Law Compliance in line with Compass Group UK & Irelands policies and processes
  • P File Maintenance including Vetting/Right to Work
  • Health & Safety Paperwork Compliance
  • Document Control in line with British Standards 9001/14001 OHSAS 18001
  • Establish and improve current site service records and systems
  • Coordination of the audit schedules & audit findings
  • Management of facilities helpdesk requests for the soft services on site, ensuring the SLA timeframes are met
  • Supporting the on-site team with maintenance helpdesk requests
  • Managing team inboxes where required, to include fire marshal and first aid inboxes
  • Work with Assistant Facilities Manager to complete the weekly payroll tracker
  • Manage the ordering of IT equipment for team members, new starters or IT requests for the client via the client systems
  • Collate & produce client reports & presentations, as required by the business
  • Responsible for ordering of consumables across the contract ensuring within budget, advising managers on cost  savings & working with suppliers to ensure best price
          

 

Ideal candidate
  • Good communication skills in order to be able to liaise with management team members, colleagues and customers within your work environment
  • Able to comply with legislation and follow all rules and regulation laid down in the staff handbook and unit policy statements, with regard to uniform, personal hygiene, health and safety
  • Ability to work under pressure whilst maintaining a positive attitude
  • Good personal time management skills
  • Good IT skills, with knowledge of Microsoft Office Suite
  • Flexible approach to working hours and environment.
