Title Venue Sales and Operations Manager

Division Painshill Park

OVERALL SCOPE & PURPOSE OF ROLE

The prime function of this role is to manage the venue and grow the business profitably both reactively and proactively whilst retaining and developing our existing database of clients.

To ensure high quality service, on time and to budget by managing client delivery projects to enable us to fulfil our contracted promises to clients consistently which dove tails and leads to successful account management.

To maintain an excellent relationship with the venue client whilst maximising venue revenues

This is an exciting opportunity for someone to take on the management of a stunning venue in the heart of Cobham. The venue is a permanent marquee set in a beautiful walled garden in Painshill Park.

GENERAL RESPONSIBILITIES AND DUTIES

Operations

• Ensure that all events are delivered to the highest possible quality producing the maximum profit
• Manage the successful delivery of all client’s events as verified post event feedback

• Maintain relationships with suppliers in order to optimize price and quality
• Ensure liaison and briefings with all suppliers (inc internal in line with delivery objectives

• Manage the venues recommended supplier list, encouraging supplier lead new business
• Oversee all venue project timelines and budget to achieve objectives

• Managing and control operational costs for all venues

• Ensure all events are effectively managed (weekdays and weekends) in order to deliver excellent experiences for clients.

• Comply with all health and safety requirements within the office and at events

Sales

• Achieve and/or exceed the monthly sales target for each venue

• Work to the Group sales enquiries process on all enquiries

• Ensure that client information is effectively managed through the BMS

• Identify new opportunities for the business, actively seeking new ways to create opportunities and support the central team where necessary

• Achieve proactive sales through group key account management

Marketing & Strategy

• Fully understand the pricing structure and maximise opportunity during peak and off-peak periods

• Participate in developing ongoing business plan including budget setting

• Possess an in depth knowledge of key competition and their strengths and weaknesses versus the Group/companies regularly monitoring this through competitor analysis

• Over-see venue marketing with the marketing division with awareness of budget

• Participate in familiarisation trips, site inspections and client entertaining as requested which may include out of hours and weekends.

• Attend relevant trade fair/exhibitions/networking events and company promo’s as requested by line manager

• Possess an awareness of social media interaction

HR

• Demonstrate effective people management skills including delegating projects to enable others to develop, learn from mistakes
• Possess a full understanding of the Company’s HR Policies and Procedures and their application

• Take responsibility for the development and performance of self and others including participating the Company’s Appraisal process

• Promote Create catering and other group services to all clients where possible

• Oversees the Company’s succession planning and personal development processes, e.g. recognizing and developing talent

• Demonstrate the Company’s : Values, Fair, Professional and Ambitious

Financial control

• Check all deposit and sales invoices, before and directly after each event.

• Cash book management
• Prepare and send weekly figures

• Takes responsibility for the overall management of accounts for the team
• Authorise team expenses

• Manage invoice process

Manager Role

• Manage the full time onsite sales, events and operations team
• Manage all aspects of team development
• Understand the organization and how the departments link together

PERSON SPECIFICATION

QUALIFICATIONS/KNOWLEDGE/EXPERIENCE

• Evidence based ability to grow venue event revenues through own initiative

• Highly professional and committed to the events industry
• Proven track record demonstrating strong sales skills

• Full Driving license and reliable car to travel between venues
• Good working knowledge of Microsoft packages particularly Word, Outlook and Excel

• Previous experience of running events; in particular private events such as weddings
• Previous experience in event sales and putting detailed proposals together

• Good understanding of different wedding cultures and catering requirements
• Availability to work late nights and weekends on a regular basis

• Excellent written and oral communication skills
• Focused on delivering a high level of customer/ client service
• Confident and professional approach when dealing with clients and event suppliers
• Able to work under pressure and multi task particularly during the peak seasons

Knowledge, Skills & Experience (Desirable):

• Understanding of social networking sites (Twitter, Facebook etc.)
• Proficient with numbers and accounting

• A creative streak
• Excellent interpersonal skills

Salary is competitive and dependant on experience.
