The role:

Based on-site at Stationers’ Hall as part of the in-house catering team (CH&CO), working within a core team of four, responsible for the selling and administrating of internal and external activities and events. Responsible for the smooth running of all sales and event matters within the site. Reporting to the General Operations Manager (CH&CO) and working closely with the on-site client at Stationers’ Hall.

Sales and Marketing Responsibilities and Duties:

- Be proactive in dealing with all incoming enquiries to ensure that they are dealt with in an efficient and professional manner such as conferences, meetings, lunches, dinners, Livery events, Weddings, Christmas and summer parties and internal Stationers’ events

- Ensure all future sales leads are followed up correctly and in a timely manner

- Achieve and where possible exceed annual F&B and venue hire budgets

- Ensure all administration and correspondence is dealt with promptly and accurately

- Ensure all correspondence relating to an event is filed accurately and handed over to the Operations team and on-site venue team

- Support the on-site Commercial Manager with enquiries with regards to all catering requirements.

- Organising & carry out ‘show rounds’ of the venue to potential clients wherever possible

- Follow bookings from enquiry to confirmation ensuring all relevant information has been collected and that the function sheets are complete in good time

- Prepare all contracts and paperwork for the events

- Planning, organising and executing all events that CH&CO cater for

- Lead on venue specific showcases and FAM trips with the assistance of the Central sales team

- Key account management, measuring return on investment and reviewing revenue potential

- Assist ITA as required at promotional events, trade shows and sales and marketing activities.

- Assist the Christmas Executive with sourcing and purchasing the Christmas decorations and theming

- Assist Pro Active Sales Manager in targeting new business specific to the venue

- Conduct weekly reports for the General Manager and Head of Sales

- Maintain external web listings ensuring all necessary venue information is relevant and up to date

- Generate social media content to feed into the Marketing Manager for the purpose of the ITA Twitter, Instagram and Facebook accounts

- Generate venue specific marketing ideas and work with Marketing Manager to execute these

- Management of key industry partnerships and relationships

- Manage the venue & event management software (Rendezvous and Priava) - track and record all business following the correct procedure

- Work closely with the General Manager and Operations team to maintain relationship with our Stationers’ Hall venue client and team

- Follow the deposit process, ensure the invoice is paid before the event and sending final invoices to commercial client’s post event


- Co-ordinate all events onsite and communicate all event details and updates to the Operations team

- Attend all operations meetings and ensure smooth handover of every event to the Operations team and on-site client team

- Coordinate and conduct menu tastings

- Keep Rendezvous updated with showround notes and all event details

- Introduce clients to the Operations team on the day of events where possible

- Keep onsite venue team and Operations team aware of upcoming site visits/ updates and last-minute changes for upcoming functions

- Manage relationships with external suppliers such as the venue’s AV supplier Eclipse
