Excel London, the exhibition and international convention centre, is the host venue for a variety of events from award winning exhibitions and conferences to international association meetings, product launches, banquets, award ceremonies, sporting events and great days out.

Levy UK are looking to recruit an Administrator to support the growth of our catering contract within the site after obtaining additional catering units within the venue.

Main responsibilities

As an Administrator you will manage the office administration and operation while controlling procedures for the business at the location, at all times, to comply with company standards and policies.  This is an entry level role for someone who is looking to get into Event Management. 


  • As a central contact for the location, build relationships with all colleagues, the main ExCeL Client and any External Event Clients and Suppliers

  • Attend all regular meetings and ensure that relevant information is cascaded as appropriate to all departments

  • Produce and manage the daily meeting notes for the daily file

  • Manage the relationship at an appropriate level with the client, providing a high level of Customer Service at all times

  • Acknowledge and act upon individual customer needs in line with the nature of the business

  • Deal with customer comments in a positive manner and take appropriate follow up action

  • Promptly respond to all customer (i.e. suppliers, Managers, clients and colleagues) queries in a timely and proactive manner

  • Ensuring that accurate records are made and details filed in accordance with company and unit procedure, maintaining an efficient filing and follow up system

  • Be aware of and adhere to legal and company regulations and auditing, relating to the following areas:

  • General administration within a busy conference and events office, supporting unit departments where necessary

  • Place orders as required and ensure that relevant purchase orders are raised prior to purchase

  • To manage department communication, to ensure that all communication notices are distributed to all of the teams and displayed appropriately

  • Ensure that the correct levels of equipment and stationery are available for each operational day and for larger events in line with budget

  • To manage all incoming and outgoing mail and distribute accordingly

  • Collate and record Customer Feedback scores in line with the SOP, sharing the information with the CSM

  • To co-ordinate copy for the Levy quarterly newsletter and ExCeL newsletter

  • Assist in the preparation of presentations and reports as required

  • To order and manage all courier requirements

  • Ensure that all company quality standards in every aspect of the operation are adhered to at all times

  • Completion of Call Log on a daily basis, getting the HOSE to sign off every Friday

  • To control Event sheet distribution with a standard distribution system

  • To be responsible for the Control Sheet, documenting all sales figures for events and for proposals

  • To organize the production of Managers’ packs for all large events

  • To support the Lead Event Manager with the Mobilisation plan for events

  • To assist Event Managers on larger events as required which may include some weekend work

  • To prepare menus and printed material for all events

  • To control the maintenance log and liaise with ExCeL as required

  • To ensure office printers, computers and faxes are fully operational

  • Report all maintenance issues and hazards to the Director of Catering immediately

Ideal candidate

  • Computer literate, excel, word and e-mail

  • Worked as part of a Team to achieve targets

  • Excellent written ability, with strong communication skills

  • Strong organisation skills

  • An ability to sell a product / package

  • Excellent customer service skills
